1. Establish the project brief
Start with what the equipment or system needs to do for your business. A replacement purchase, an addition to existing infrastructure and a new project can each call for a different approach.
Share the intended use, the environment already in place and the decisions still to be made. An initial discussion can begin with a model reference or with a description of the task.
2. Define the technical basis
Turn the brief into a clear specification. For equipment supply, this may include product references, configuration, quantity, accessories and documentation. Where alternatives can be considered, identify the characteristics that must remain consistent.
For an integration project, the existing equipment, software and connections help define the technical context. Compatibility and operating constraints need to be considered before a proposed solution is agreed.
3. Set the scope and responsibilities
LANGOM supplies server equipment, electronics and measuring equipment, and provides systems integration. A project can involve a supply discussion, an integration discussion or both.
Set out the requested activities, deliverables and responsibilities of each party. Any configuration, installation, testing or support needs should be discussed explicitly, with the included work recorded in the agreed scope.
4. Review the proposal and purchasing terms
The proposal should give both sides a clear basis for a decision: the equipment or work covered, quantities, commercial terms, proposed timing and any conditions that affect the project.
Confirm availability and delivery arrangements for the specific purchase. Resolve open points about specifications, documentation and acceptance before making a commitment.
5. Use the agreement to guide the next steps
The agreed specification and scope provide the reference for the project. They should make the next actions, responsible contacts and acceptance criteria clear.
If a requirement changes, its effect on the equipment, work, cost or timing needs to be agreed too. The basis for completion should remain clear as the project develops.
Prepare your project brief
- Business objective and intended application
- Equipment references or essential specifications
- Existing environment and compatibility constraints
- Quantities and requested integration work
- Required documentation and acceptance criteria
- Project location and target schedule
Before you start
Can we start before every technical detail is settled?
Yes. Share the intended result, what is already known and the choices that remain open. Identify any constraints that will shape the specification.
Is integration automatically included in an equipment purchase?
Supply and integration can be discussed together. The agreed proposal defines the integration activities and deliverables included in the project.
When are availability and timing confirmed?
They are confirmed for the specific equipment and agreed scope before an order or project commitment. Include your target date in the initial brief.
